SummaryAdministrative Assistant (Temporary)The Department of Administration's (Admin) Division of Facilities Management & Property Services (FM) oversees the daily operation and maintenance of 53 state-owned buildings, including the State House, Capital Complex, and Governor’s Mansion, ensuring they remain safe, functional, and well-maintained. In this temporary role you will provide administrative, customer service, and operational support to the Business Support and Property Services Section of the Division of Facilities Management and Property Services and serve as the first point of contact for visitors, tenants, vendors, and staff while coordinating front office operations, office logistics, records, financial transactions, and administrative services that support the Division's mission.This position is onsite in Columbia, SC.
Responsibilities of Administrative Assistant:

• Serve as front desk receptionist and first point of contact for visitors, tenants, vendors, and staff.

• Answer telephone calls, respond to emails, and route inquiries appropriately.

• Serve as HR liaison by assisting with new hire paperwork, employee recognition activities, and business card requests.

• Coordinate ordering of office supplies, copier supplies, and drinking water.

• Manage incoming/outgoing mail and package distribution.

• Coordinate State tenant and Department office moves.

• Administer copier accounts, recycling, and toner returns.

• Prepare files, binders, notebooks, meeting packets, and other materials.

• Maintain employee contact lists and administrative records.

• Process IDTs, code invoices, and provide administrative financial support.

• Assist with intranet/web services testing and implementation of updates.

• Coordinate desktop telephone service requests.

• Provide excellent customer service while maintaining confidentiality.

• Perform special projects and other duties as assigned.

Examples of duties

A high school diploma and work experience that is directly related to the area of employment. A bachelor's degree may be substituted for the related work experience. 


Additional Requirements:
  • Strong communication and customer service skills. 

  • Excellent organization and attention to detail.

  • Ability to multitask, maintain confidentiality, prioritize work independently, and use standard office technology.

  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
