SummaryThis is a Part Time position working 20 hours a week.Under the general supervision of the Assistant Director, performs a variety of administrative and clerical duties in support of the department. Responsibilities include processing and coordinating legal and patient information requests, subpoenas, coroner reports, department-wide payroll and timekeeping, employment application and interview processes, records management, correspondence, and other administrative functions. Work requires accuracy, organization, confidentiality, attention to detail, and the ability to independently manage assigned responsibilities and meet established deadlines while communicating effectively with department personnel, County employees, outside agencies, attorneys, vendors, and the general public. Examples of dutiesESSENTIAL JOB FUNCTIONS
Coordinates and processes legal requests, subpoenas, coroner reports, patient care record requests, and other authorized requests for departmental or patient-related information. Reviews requests, gathers and organizes records, communicates with requesting parties, tracks deadlines, and ensures appropriate documentation is provided in accordance with applicable laws, County policies, and departmental procedures.
Performs weekly payroll and timekeeping functions for the entire department, including reviewing timesheets, verifying hours, processing corrections, tracking leave, resolving discrepancies, and preparing required payroll documentation.
Receives and screens department employment applications and coordinates the administrative aspects of the hiring process, including communicating with applicants, scheduling interviews, preparing interview materials, and organizing candidate information for interview panels.
Maintains accurate and confidential electronic and physical departmental records and files, including patient, legal, personnel, payroll, and correspondence records.
Prepares routine correspondence, reports, forms, spreadsheets, and other documents; performs data entry; and uses computer systems and office equipment necessary to complete assigned duties.
Answers and screens telephone calls, responds to routine inquiries, greets and assists visitors, and communicates professionally with department employees, County personnel, outside agencies, attorneys, healthcare organizations, applicants, and the general public.
Gathers information as requested by the Assistant Director or Director and assists with special projects and other administrative needs of the department.
Ensures all work is completed accurately, thoroughly, and within established deadlines, with particular attention to legal, payroll, patient care, and confidential records.
NON-ESSENTIAL JOB FUNCTIONS
Performs light housekeeping work as necessary to maintain a neat and clean work environment.
Performs other related duties as required.
PHYSICAL REQUIREMENTS:
Tasks involve the ability to exert light physical effort in sedentary to light work, but which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (up to 10 pounds).
Tasks may involve extended periods of time at a keyboard or work station.
Must be able to climb stairs. QualificationsEDUCATION, EXPERIENCE AND CERTIFICATION REQUIREMENTS
Requires a high school diploma or GED equivalent.
Preferred to be supplemented by one to two years of responsible administrative or clerical experience, or any equivalent combination of training and experience which provides the required knowledge, skills and abilities.
Must possess a valid S.C. driver’s license.
