About the Role
The Executive, Finance Administration supports the Manager, Finance Business Partnering in ensuring the smooth execution of financial operations for DKSH in Brunei Darussalam. This role is central to maintaining compliance with local regulations and corporate policies, while serving as a key liaison between the Finance team, Central Services Accounting, and the Business Process Outsourcing (BPO) team to enable accurate financial reporting, tax compliance, and fulfillment of statutory requirements.
What You Will Deliver
- Prepare and deliver daily and monthly financial reports to support business decision-making, and ensure timely and accurate completion of tasks aligned with monthly financial closing deadlines, including coordination of biannual tactical cash flow reports
- Manage Accounts Receivable (AR) and Accounts Payable (AP) activities, including following up with debtors on outstanding payments and liaising with creditors to resolve discrepancies, while managing petty cash for Distribution Centre vehicles, Regulatory Affairs, and Tender and Quotation teams
- Oversee the end-to-end Hosting Service Agreement workflow, including preparation and submission of client and principal reimbursement claims, issuance of Debit Notes and Credit Notes, and tracking of incoming and outgoing payments to ensure timely settlement and accurate financial records
- Conduct monthly vendor and supplier statement reconciliations, compile and verify invoices for payment processing, and ensure full alignment between vendor statements and internal financial records
- Coordinate all banking facilities and financial matters with Bank Islam Brunei Darussalam (BIBD) and United Overseas Bank (UOB), covering account operations, loan and credit facilities, treasury services, and compliance with banking regulations
- Support the external audit process end-to-end by attending audit walkthroughs, providing required documentation and clarifications, reviewing audit adjustments, reconciling financial statements with the trial balance and general ledger, updating tax computations, preparing supporting schedules, verifying applicable tax rates, and ensuring timely submission of tax return forms to the relevant tax authority
- Maintain and update staff insurance records and company-owned asset documentation, ensuring timely renewals, compliance, and a systematic digital and physical filing system to support audit readiness and operational efficiency
- Serve as Internal Auditor responsible for auditing local Standard Operating Procedures (SOPs) across designated departments, ensuring compliance with International Organization for Standardization (ISO) 9001:2015 standards, and contributing to continuous quality improvement initiatives
- Collaborate with cross-functional teams including Administration, Human Resources (HR), Customer Care Centre, and Business Operations to align financial practices with overall business objectives
- Administrative duties and coordination tasks as required, including managing SPK payment portal updates and providing support on additional finance-related matters as assigned by the Chief Financial Officer (CFO), Finance Director, or DKSH Malaysia Finance leadership
What You Bring
- Bachelor's Degree in Finance, Accounting, Business Administration, or a related field
- Relevant working experience in finance or accounting operationsKnowledge of financial reporting, tax compliance, and audit processes
- Familiarity with ISO 9001:2015 standards is an advantage
- Good command of English, both written and spoken
- Proficiency in Microsoft Excel, Word, and PowerPoint
