•    Provide strategic and operational leadership to the Pilot Records team, ensuring effective supervision, talent development, and workflow oversight, including scheduling, daily task allocation, and staffing optimization.
•    This role is a part of the Pilot Records & Quality Assurance team within the Flight Training & Standards group.

What you'll do

•    Lead team of pilot records administrators providing coaching, counseling, guidance, and professional development 
•    Monitor performance of direct reports, documenting progress and any opportunities for improvement 
•    Responsible for training, standardizing and documenting administrative processes including maintaining department policy and procedures manuals
•    Establish and modify policies for the tracking of pilot and instructor qualifications 
•    Develop standardized initial training curriculum for successful onboarding of new administrators
•    Ensure student and instructor training completions conform to Federal Aviation Administration (FAA) Regulations, Advanced Qualification Program (AQP), pilot contract, instructor contract, and/or company policies and procedures
•    Verify successful completion of various phases of training including qualification, continuing qualification, and requalification courses then issue and maintain pilot and instructor qualifications
•    Responsible for ensuring that automation configurations enabled in the Training Management System (TMS) accurately updates pilot records in the TMS and in American Airline’s Flight Operations System (FOS)
•    Maintain expert level knowledge of all AQP training programs for pilots, instructors, and evaluators with coordination within the Flight Training department to ensure standardization of training events
•    Serve as central point of contact for all internal & external audits pertaining to training records 
•    Assist in the investigation/implementation of policies and procedures deemed necessary to track and record current and former pilot qualifications as well as maintain current former pilot personnel files in accordance with the Pilot Record Database
•    Collaborate with internal departments (Flight Operations, Flight Service, Dispatch Operations, AQP, Training Scheduling, Safety, etc.)
•    Any other additional duties as assigned by the Director, Flight Standards & AQP

All you'll need for success

Minimum Qualifications- Education & Prior Job Experience

•    Bachelor’s degree in relevant field or equivalent experience
•    4 years of related work experience
•    Highest degree of confidentiality and willingness to be subject to a non-disclosure agreement
•    Documented success in leadership roles, including oversight of personnel, processes, and performance objectives 

 

Preferred Qualifications- Education & Prior Job Experience

•    Working knowledge of Training Management Systems (TMS) (FOX, Qualtero, Comply, MINT, ProDIGIQ, Prodefis, etc.) 
•    Regional or major airline experience in training records 
•    Working knowledge of Foreign National Pilot training clearance 

 

Skills, Licenses & Certifications

•    Intermediate to advanced knowledge of Microsoft Word, Excel, SharePoint and Teams
•    Working knowledge of American Airlines Flight Operations System (FOS)
•    Demonstrated knowledge of FAA regulatory requirements for pilot recording keeping
•    Self-motivated, detail-oriented, and capable of performing tasks in a timely manner with minimum supervision
•    Exceptional aptitude for task analysis, reasoning, fact-finding, prioritization, decision making and problem solving
•    Extreme organizational skills in a high workload environment, with continually shifting priorities, and pressure to meet firm deadlines
•    Above average non-verbal, verbal and written communication skills
