Primary Purpose of Position
University College Academic Advising supports student success by guiding students through academic planning and connecting them with the University’s academic and co-curricular opportunities. The Front Desk Manager serves as a central point of contact for the office, overseeing daily front desk operations, supervising student employees, managing appointments and communications, and responding to inquiries from students, families, and campus partners while ensuring compliance with FERPA regulations. The role also maintains student records, updates major information, supports advising and orientation processes, manages departmental communications, analyzes student information systems data, and performs a variety of administrative and operational functions that ensure the advising office delivers efficient, accurate, and student-focused services.
Minimum Qualifications
Graduation from high school and one year of related office experience; or an equivalent combination of education and experience. Diplomas or degrees must be received from appropriately accredited institutions.

Supervises and manages the front desk area and our work study students as they answer phones, receive walk-in traffic, and complete other office tasks; takes on the student employee responsibilities when none are available. Answers questions from the general public, students, parents and campus partners on advising steps for incoming, continuing, and returning students. Answers questions regarding academic policies and procedures and applies judgment in regards to FERPA when releasing confidential information or to whom to refer questions. Explains and interprets academic and major declaration requirements to staff and students.
Communication – Written
Provides administrative support in multiple formats such as emails, texts, memos, reports or meeting minutes (Google Docs/Sheets, Microsoft Word/Excel) for UCAA. Drafts emails, memos and other documents that relate to intended major changes and managing student record information. Proofreads documents for grammar, spelling, punctuation, and basic formatting. Records and documents information accurately. Reviews confidential student records information and drafts written communication to students based on that information.
Information/Records Administration
Uses our established data systems for managing student records. Understands Banner Student Information system software, Orientation Management/Advisor Caseload software, Slate, and related web applications used to perform day-to-day functions (including Docuware file management). Coordinates varied records processing activities requiring the application and some interpretation of university procedures, policies, and regulations including intended major changes, catalog year changes, and some major declaration (on an as needed basis) Type of Position Permanent Full-Time Staff/Non-Faculty Staff/Non-Faculty Appointment Type 1 Work Schedule/Hours Mon-Fri, 8am-5pm. ENTIRELY IN-PERSON. Occasionally overtime may be required during peak advising times. - Providing excellent customer service and managing the front desk area of a large, busy office on a daily basis, addressing appointment scheduling issues, and responding to questions from students, parents, campus partners, and the public via email, phone, and walk-in traffic under FERPA guidelines.
- Supervising and managing up to 5 shared work-study student employees (hiring, training, daily supervision, timesheet tracking).
- Reviewing and updating students’ academic major information in Banner.
- Managing call campaigns for Incoming, Readmission, and Continuing students.
- Providing administrative support for University College Academic Advising (leadership, admin and Records, and advisors).
- Managing both advising and PREP email accounts and text inquiries, adding student records notes to DegreeWorks.
- Assisting with Orientation Management/Advisor Caseloads, accessing and analyzing Banner, Docuware, and TracCloud reports.
- Other administrative duties as assigned (for example, assisting with the PREP course, Course Overloads, Visiting Coursework, Major Declarations, Withdrawal reports, purchasing, work orders, room reservations, etc.).

- This position requires knowledge of University structure, services, programs, procedures and practices.
- Employees in this position should have strong managerial and customer service skills as well as strong attention to detail and commitment to accuracy in record keeping.
- The position requires daily use of various office technology and software applications including extensive use of Google Suite (Docs, Forms, Sheets, etc.) and MS Excel.
- Individuals in this position should be able to address inquiries pertaining to advising processes and student academic records.
- A Bachelor’s Degree plus 3-5 years of administrative, managerial, and customer service experience.
- Ability to work effectively with a variety of personalities in a helpful, congenial and professional manner.
- Demonstrated use of University student information systems.
- Demonstrated experience using office technology and administrative software (specifically Google Suite and Microsoft Office).
- Demonstrated project management experience and the ability to multi-task.
- Demonstrated experience in detailed and accurate record keeping.
