Part-Time Business Office Assistant Position Summary

The Part-Time Clerical/Administrative Assistant provides administrative and customer service support to the Business Office. This position assists with a variety of office functions, including data entry, document management, and general administrative tasks to help ensure efficient daily operations. The ideal candidate is organized, detail-oriented, and committed to providing excellent service to the department, faculty, staff, and visitors.

Essential Duties and Responsibilities
  • Provides clerical and administrative support to the Business Office.
  • Greets students, visitors, and vendors professionally and courteously.
  • Answers incoming telephone calls and directs callers to the appropriate department or staff member.
  • Assists students with general Business Office questions and directs them to appropriate resources as needed.
  • Performs general clerical duties including filing, scanning, photocopying, mailing, and organizing documents.
  • Maintains electronic and paper filing systems while ensuring confidentiality of student and financial records.
  • Assists with data entry and maintaining accurate student and departmental records.
  • Prepares correspondence, reports, and other documents using Microsoft Office applications.
  • Assists with processing incoming and outgoing mail and package deliveries.
  • Maintains office supplies and notifies the Business Office Manager when supplies need to be replenished.
  • Assists with scheduling appointments and supporting Business Office meetings as needed.
  • Provides administrative assistance with student account documentation and other Business Office processes.
  • Supports campus administrative projects and special assignments as directed.
  • Maintains a clean, organized, and professional reception and office environment.
  • Performs other duties as assigned.
  • Maintains regular and reliable attendance.
Skills, Competencies, and Qualifications
  • High school diploma or equivalent required; associate degree or administrative office experience preferred.
  • One (1) year of administrative, customer service, or office support experience preferred.
  • Strong organizational skills with exceptional attention to detail.
  • Excellent verbal and written communication skills.
  • Professional customer service and telephone etiquette.
  • Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and Teams.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Ability to prioritize multiple tasks and work independently in a fast-paced environment.
  • Basic mathematical and data entry skills.

Work Schedule

Part-time; schedule will vary based on campus needs. Occasional evening or weekend hours may be required.

Working Environment

Primarily an indoor office environment requiring extended periods of sitting, standing, computer use, and interaction with students, staff, and visitors.
