Job Duties:
- The Administrative Assistant performs and coordinates business support activities associated with fiscal management. procurement, and supply services for the county office.
Monitors budgets and performs bookkeeping duties, including maintaining office accounts - preparing reports that accurately reflect the budget position of the County, preparing weekly reports on the disbursement and receipt of income, preparing monthly reports detailing expenditures and account balances. Monitors accounts - on a daily basis reviews account balances to prevent over expenditures. Monitors disbursement and receiving of funds; ensures receipts and deposits are processed timely; posts payments for FJ and FS claims into computer system; submits related paperwork to State Office. Performs bank statement reconciliations timely. Prepares IRS 1099 forms for vendors at the end of each calendar year. Research billing questions from vendors, staff, etc.
- Performs necessary activities to maintain equipment, and supplies. Assists with calls for repairs on equipment as needed for computers; monitors; printers; copiers; postage machine; telephones; etc. assists workers as needed with problems. Maintains log of cell phones, cameras; assists workers with problems as needed.
- Orders forms, brochures, etc. as needed for office operation; maintains storage and distribution; assists with timely and accurate submissions for bills for contract services, equipment and supplies for the agency through requisition. Assists with pre-encumbrances.
- Ensures that personal identifying information (PII) is properly used, accessed, gathered, shared and disposed. To protect the agency networks and applications by safeguarding systems, equipment and data.
- Keys monthly car logs for state fleet vehicles assigned to Dorchester DSS; serve as fleet manager of vehicles assigned to Dorchester DSS by scheduling and ensuring all repairs, maintenance and monthly cleaning are completed timely.
- Participates in trainings and workshops, and participate in Emergency Welfare Services, including Emergency Red Cross Shelters during natural disasters.
- Requests from facilities maintenance of the county any issues regarding supplies, work orders and building issues to include grounds and building.
Examples of dutiesA High School Diploma and one (1) year of clerical, accounting, or bookkeeping experience.
