Job Description

Job Summary

The Operations Assistant will support the day-to-day operational and administrative functions of the business. The role includes assisting with IT hardware setup, maintaining operational records, supporting business continuity initiatives, documenting procedures, and providing general office and administrative support.

Job Responsibilities

IT and Technology Support

  • Collaborate with the ICT team to set up laptops, peripherals, and replacement equipment for employees.
  • Assist with resolving IT-related issues for the Australian team through liaison with the ICT team.
  • Maintain the company iPhone register and assist with iPhone setup and account administration.
  • Support the setup, maintenance, and administration of office phone systems and related hardware.
  • Assist with ordering IT equipment, supplies, and accessories as required.

Operational Support

  • Document and update operational procedures and process manuals.
  • Assist with business continuity planning, testing, and documentation.
  • Learn and support STEPS ordering processes
  • Liaise with overseas solutions teams to report, monitor, and resolve system issues.

Administration and Office Support

  • Organizing and Maintaining filing systems, registers, and company records.
  • Assist with client communications and follow-up requests for information in a timely manner.
  • Support postage, deliveries, and general office administration.
  • Help maintain a tidy, organized, and professional office environment.
  • Coordinating and carrying out administrative functions in a professional and confidential manner.
  • Perform other duties as assigned or required

Qualifications

  • High school diploma or equivalent.
  • Previous administrative, customer service, or office experience an asset
  • Basic knowledge of computer hardware, software, and mobile devices.
  • Strong organizational and time management skills.
  • Excellent verbal and written communication skills.
  • Ability to multitask and manage competing priorities.
  • Strong attention to detail and accuracy.
  • Proficiency in Microsoft Office applications.
  • A self-starter with the ability to work with minimal supervision and manage the workload efficiently with challenging demands for resources and time
  • Adapts readily to a fast pace and dynamic environment
  • Effectively interacts within a team setting
  • Highly resourceful in nature
  • Strong interpersonal skills, professional skills and the ability to exercise good judgment. Β
