Job Title: Bookkeeper (Xero + Hubspot)
Type: Part Time | 20 hours a week
Rate: $9AUD per hour

As our business continues to grow, we are looking for an experienced bookkeeper to support our finance operations and ensure the accuracy and integrity of our financial records.
Position Summary
We are seeking a highly organized and detail-oriented bookkeeper with strong Xero experience to manage the company's day-to-day financial transactions and bookkeeping functions. The successful candidate will work closely with management, project teams, and the external accountant to ensure accurate financial reporting, cash flow management, and compliance with Australian accounting standards.
Experience working in engineering, technology, renewable energy, manufacturing, or project-based businesses is highly desirable.
Key Responsibilities
Bookkeeping & Financial Administration
· Manage the day-to-day bookkeeping functions using Xero .
· Record financial transactions accurately and maintain the general ledger.
· Reconcile bank accounts, credit cards, and balance sheet accounts.
· Maintain accurate financial records and digital filing systems.
· Ensure financial data is complete, accurate, and up to date.
Accounts Payable
· Process supplier invoices and purchase orders.
· Schedule and process supplier payments.
· Reconcile supplier statements and resolve discrepancies.
· Maintain strong relationships with suppliers and vendors.
· Monitor outstanding invoices and payment due dates.
Accounts Receivable
· Prepare and issue customer invoices through Xero.
· Monitor outstanding receivables and follow up on overdue accounts.
· Allocate incoming payments and reconcile customer accounts.
· Assist with credit control and debt collection where required.
Bank & Credit Card Reconciliations
· Perform regular bank reconciliations.
· Reconcile company credit cards and expense claims.
· Investigate and resolve discrepancies promptly.
· Assist with cash flow monitoring and reporting.
Payroll Support
· Assist with payroll preparation and processing.
· Maintain employee payroll records and leave balances.
· Coordinate payroll information with external payroll providers if applicable.
· Ensure payroll information is accurate and processed on schedule.
Project & Financial Support
· Assist with project cost tracking and expenditure monitoring.
· Support project managers by allocating project expenses correctly.
· Maintain job costing records for engineering and infrastructure projects.
· Assist in monitoring budgets and project profitability.
Financial Reporting
· Prepare monthly financial reports, including:
o Profit & Loss Statements
o Balance Sheets
o Cash Flow Reports
o Accounts Payable & Receivable Reports
o Project Cost Reports
· Support month-end and year-end close processes.
· Assist management with budgeting and financial reporting.
Compliance & Tax
· Prepare BAS, GST, and supporting documentation for the external accountant.
· Maintain compliance with Australian accounting standards and company policies.
· Assist with audit preparation and financial documentation.
· Ensure financial records are maintained in accordance with statutory requirements.
Administrative Support
· Maintain organized financial and project documentation.
· Assist with financial reporting requests from management.
· Support continuous improvement of finance processes and internal controls.
· Perform other finance-related administrative duties as required.
Required Qualifications
· Certificate IV in Bookkeeping and Accounting, Diploma in Accounting, or Bachelor's Degree in Accounting, Finance, or a related discipline.
· Minimum 2 years of bookkeeping experience .
· Strong experience using Xero is essential.
· Excellent understanding of bookkeeping principles and Australian accounting practices.
· High level of accuracy and attention to detail.
· Strong organizational and time management skills.
· Excellent written and verbal conversational skills (highly preferred)
· Ability to work independently in a remote environment.
· Need to have a growth mindset
Preferred Qualifications
· Xero Advisor Certification or Xero Payroll Certification.
· Experience in engineering, renewable energy, electrical contracting, technology, manufacturing, or infrastructure industries (nice to have but not a hard requirement)
· Knowledge of project accounting and job costing.
· Familiarity with inventory management and procurement processes.
· Experience supporting growing businesses with multiple projects.
