DUTIES/RESULTS:
Supports administration and coordination of work processes within YCA regional proposal functions, including proposal tracking, document control, status follow-up, and timely communication with stakeholders.
Assists with resource planning and workload coordination in alignment with sales forecasts, business demand, and regional proposal priorities.
Promotes improvements to proposal work practices, procedures, standards, templates, and skill development to improve efficiency, quality, accuracy, and repeatability.
Works with counterparts in other regions to support development, maintenance, and improvement of proposal standards, processes, procedures, and best practices.
Supports fiscal and administrative activities related to proposal execution, including travel planning, general expense tracking, and capital request documentation as assigned.
Assists in monitoring expenses related to proposals and technical sales support across YCA divisions.
Supports onboarding, training coordination, knowledge sharing, and development activities for proposal personnel as assigned.
Coordinates access requests and required documentation for YHQ applications related to Tokuchu and special discount processes for strategic project sales.
Participates in sales, pricing, and project execution strategy discussions by gathering inputs, preparing supporting information, documenting assumptions, and tracking follow-up actions.
Coordinates activities with Sales, Manufacturing, Engineering, Service, Quality Assurance, Finance, Legal, HR, and other departments to support proposal execution and business objectives.
Supports proposal activities for strategic and complex projects to help ensure completion with quality, accuracy, consistency, and alignment with customer requirements.
Works with AI companies, technology partners, and internal digital stakeholders to support innovation in current AI projects, including use-case definition, workflow mapping, pilot support, feedback collection, and adoption planning.
Assists in developing, testing, and improving automation tools that streamline proposal intake, document generation, approval tracking, reporting, knowledge management, and repetitive administrative tasks.
Maintains awareness of emerging AI and automation capabilities that may improve proposal operations, while ensuring responsible use, data protection, and alignment with company standards.
Responsible for providing uncompromised quality in all work processed within assigned area of responsibility. Has authority to stop work processes when quality is believed to be compromised.

SPECIFICATIONS:
Education: BA or BS in Engineering, technical discipline, business, data/technology-related field, MBA, or equivalent experience.
Prior Experience: 1–3 years of industrial, technical, sales support, proposal, engineering, project coordination, business process, data/automation, or related experience. Exposure to process automation, control systems, proposal operations, AI tools, or workflow automation is preferred.
Technical Knowledge: Developing knowledge of control systems in process automation, including hardware, software, networking, integration, and project execution concepts. Ability to learn technical and commercial proposal requirements quickly and apply them accurately.
Digital & Automation Skills: Basic working knowledge of AI-enabled tools, Microsoft 365, workflow automation, data organization, and reporting tools. Ability to translate business process needs into clear automation requirements with guidance from subject matter experts.
Collaboration & Communication: Strong communication, organization, documentation, cross-functional coordination, and follow-up skills. Able to work effectively with Sales, Engineering, Operations, Finance, Legal, HR, global affiliates, AI companies, and technology partners.
Leadership Potential: Demonstrates ownership, curiosity, continuous improvement mindset, and ability to influence through communication and reliable execution. Formal people-management experience is not required.
