With over 100 employees, the department strives, within available resources, to provide adequate nutrition to clients based on medical, spiritual, ethnic, cultural, and mental health needs Examples of dutiesAbout this position:The purpose of this position is to provide technical, administrative, and operational support within the Nutrition Services Department. The position is responsible for processing patient medical diet orders, translating them into specific menus via specialized nutrition software, coordinating daily staffing coverage/schedules, managing timekeeping processes, and handling food, paper, and office supply requisitions. By managing dietary tasks such as menu modifications and meal orders, the position facilitates communication between Registered Dietitians (RDs) and food service staff at both CMHHIP and CDOC to ensure optimal patient nutritional care. Under the guidance of an RD, the incumbent carries out various clinical and administrative support functions, including entering diet orders into digital systems, producing production reports and tallies (load slips), and managing routine clerical assignments within the department.
Position Duties:
Menus and Medical Diet Orders
- Assists Lead RDs in developing, editing, and maintaining general and modified menus according to established diet manual, menu guide, and facility requirements.
- Receives, reviews, and translates medical diet orders into patient-specific menus, including therapeutic, modified texture, allergy, intolerance, cultural, and religious diets; provides menus to RD for final approval.
Generates nutrition analysis reports and transfers information into spreadsheets for RD review.
Collaborates with dietitians and other healthcare professionals to provide coordinated care and ensure conformance with diet orders.
Enters, updates, and maintains necessary documents and spreadsheets with accurate diet orders, admissions, discharges, and transfers in the diet office and electronic medical record systems.
Completes DOC Meal Counts form with facility census changes; tracks DOC medical and religious diets, as well as tracking snacks for billing in accordance with Intraagency Agreement.
Generates and maintains daily tallies, load slips, census, and other related reports to support accurate food production and reduce waste (This requires knowledge and ability to convert using English measurements).
Reviews electronic health records to identify diet discrepancies or potential safety issues and reports findings to the RD.
Coordinates patient meal service, snacks, and sack meal logistics to ensure timely delivery that meets medical nutrition needs based on prescribed diets.
Enters accurate data related to inventory, compliance, traits, food lists, recipes, menus, etc as directed by the dietitians; contributes to the ongoing development and maintenance of nutrition software.
Guides meal substitutions due to unexpected disruptions and based on current diet orders, and conducts rounds to the various Dining Rooms to collect and deliver diet-related information as needed.
Supports continuous quality improvement by collaborating with RDs, units, dining services, DOC, and other healthcare professionals to ensure coordinated nutrition care.
Provides routine guidance to staff regarding modified and religious diets under RD guidance.
Assists with training, orientation, and ongoing support of new dietetic technicians and department staff.
Communicates patient care and food service issues to RDs in a timely and professional manner.
- Coordinates daily and weekly staffing coverage to maintain required staffing levels while adhering to policies, procedures, and partnership agreements.
- Receives and processes early-morning and ongoing call-offs; documents unscheduled absences and updates call boards.
Adjusts daily staffing assignments to ensure operational coverage while minimizing overtime and disruption.
Maintains and updates staffing lists reflecting employee skills, training, and eligibility to cover positions.
Coordinates the development and distribution of weekly schedules.
Ensures schedules comply with FLSA and departmental staffing plans.
Communicates staffing changes to managers, supervisors, and affected employees.
Provides training to new employees regarding the appropriate “call-off” procedures for Nutrition Services.
Checks weekly to ensure each employee is within their prescribed hours/work schedule and creates reports with vital information to managers and Appointing Authority regarding use of time.
Complies with departmental Standard Operating Procedures (SOPs) and maintains required documents to ensure compliance with the Partnership Agreement.
Enters staff-approved leave into the nutrition services calendar and sends out schedules on a weekly basis.
Receives incoming telephone calls, triages calls according to guidance, and responds to customer inquiries and/or allocates calls to the appropriate staff member.
Responds to emails and voicemails and addresses staffing issues to the corresponding manager.
Position must know who the appropriate points-of-contact are for respective issues that may arise, which can often change. This requires an ability to stay up-to-date on changes within CMHHIP and the Department.
Complies with the Fair Labor Standards Act (FLSA), Equal Employment Opportunity Commission (EEOC), and Health Insurance Portability and Accountability Act (HIPAA).
Maintains up-to-date knowledge of timekeeping and Payroll policies and procedures.
Provides administrative and communication assistance for staffing and diet office functions while building effective interdepartmental professional relationships.
Enters data related to patient diets and menus, and maintains patient or production records.
Answers and routes telephone calls and electronic communications as appropriate.
Communicates diet changes and meal instructions to personnel as appropriate; writes memos regarding diet or menu changes, religious holy days, and substitutions using established templates.
Completes required reports, logs, and documentation accurately and on time.
Establishes and maintains filing and recordkeeping systems in accordance with departmental and state requirements.
Maintains accurate, confidential records in compliance with HIPAA and facility policies.
Compiles and maintains spreadsheets and reports related to staffing, attendance, leave usage, and operational needs.
Provides logistical support for meetings, calendars, conference room scheduling, and departmental communications.
Responsible for the operation of office equipment, printers, copiers, computers, and telephone systems. Offers general technical assistance to department personnel regarding computer usage during standard office hours.
Facilitates effective program operation by maintaining office supplies and equipment, and ensures current forms are in place for Administration use.
Performs other duties as assigned by the work leader or supervisor.
Minimum Qualifications:
Experience Only:
Three (3) years of relevant experience in an occupation related to the work assigned to this position.
OR
Education and Experience:A combination of related education and/or relevant experience in an occupation related to the work assigned equal to three (3) years.
Preferred Qualifications:
Demonstrated experience in purchasing and P-card management in compliance with State Fiscal Rules and procurement policies.
Previous experience managing daily/weekly staffing coverage for large departments (100+ employees), including processing unscheduled call-offs and balancing overtime considerations.
Familiarity with FLSA (Fair Labor Standards Act), EEOC, and HIPAA compliance within a government or healthcare setting.
Ability to manage multiple high-priority projects simultaneously while meeting strict departmental and payroll deadlines.
Experience handling sensitive personnel records, including licensure, certifications, and protected health information.
Proficiency in Google Workspace (Sheets, Sites, Drive) and Microsoft Office Suite to manipulate data and create professional presentations.
Experience with Teamwork staffing software or similar workforce scheduling platforms.
Experience in a Clinical or Dietary Setting: Previous experience working in a hospital, long-term care, or mental health facility diet office is highly preferred.
Data Systems Proficiency: Experience using enterprise systems such as Kronos UKG, CORE, or similar timekeeping and requisition software.

- Ability to read, write, and fluently communicate in English to successfully pass all modules of the CMHHIP New Employee Orientation core curriculum, relevant competency assessments, and institutional safety and security protocols.
- Maintain continuous visual and auditory acuity to monitor food safety metrics, observe dining room behavior, and immediately respond to potential safety breaches or missing contraband/utensils.
- Must successfully complete a 2-step TB (tuberculosis) screening upon hire and maintain compliance with annual influenza vaccinations and any other vaccinations required by the State of Colorado.

CDHS Selection Process Explanation
Employment history is calculated on a full-time basis (40/hrs per week). Part-time employment is calculated on a prorated basis to determine qualifications.
