Quest Alliance is looking for an Executive Associate—Strategy & Operations to support the CEO and, on a need basis, members of the Executive Team.
You’ll work closely with the CEO and the SOL team to keep leadership priorities organised, coordinate meetings and follow-ups, translate programme and organisational data into compelling narratives for leadership, partners, and funders, and support the execution of Quest Alliance’s key strategic initiatives. The role brings together executive coordination, priority tracking, research, communication, data storytelling, and support for selected cross-functional projects.

Key Responsibilities:
1) Executive Office & Workflow Systems- Manage the CEO's priorities, calendar, and scheduling rhythm with precision and analytical rigor.
- Coordinate travel and logistics for the CEO and support Executive Team members when required.
- Organise leadership meetings, board engagements, organisational events, and offsites.
- Coordinate routine scheduling and communication with internal teams, partners, donors, and other stakeholders.
- Design and maintain structured tracking systems in Notion and Google Workspace for leadership engagements, key contacts, commitments, follow-ups, and decision logs.
- Build lightweight dashboards for priority tracking, meeting-to-action conversion, and weekly execution reviews.
- Support the use of simple automations across productivity tools to streamline routine follow-ups, updates, and coordination.
- Continuously audit and refine executive systems for efficiency and clarity.
- Translate data insights and strategic analysis into compelling presentations, briefing notes, and decision documents for the CEO.
- Use AI tools to enhance research, data analysis, formatting, and narrative construction for leadership communications.
- Create visual narratives from program data that clearly communicate impact, progress, and strategic priorities.
- Develop insight-driven communication materials that support evidence-based leadership decisions.
- Track progress on key strategic initiatives using structured data frameworks and milestone reporting.
- Support cross-functional follow-ups emerging from leadership meetings, ensuring data-informed accountability.
- Maintain visibility on priority projects through dashboards and structured status reporting.
- Serve as a coordination bridge between the CEO and internal teams, bringing analytical clarity to cross-functional discussions.
- Ensure that meeting records, decisions, and follow-up documents are maintained systematically.
4) Stakeholder Engagement & Relationship Management

Support the CEO’s engagement with funders, government representatives, partners, sector leaders, board members, and other key stakeholders through timely preparation and follow-up.

Maintain structured records of stakeholder interactions, commitments, relationship history, and next actions to strengthen continuity and institutional memory.

Coordinate inputs from internal teams for external meetings, ensuring the CEO has accurate information, aligned messaging, and relevant supporting materials.
Required Experiences & Skills:

Strong organizational instincts, with genuine comfort building and maintaining structured systems (Notion, Google Workspace, or similar).

Sharp written and visual communication skills — able to turn data and ideas into clear presentations and briefing notes.

Comfort working with data: reading it, structuring it, and using it to tell a story.

Familiarity with AI tools for research, analysis, and content creation, and a willingness to keep learning new ones.

High discretion and professionalism — this role involves close access to leadership priorities and sensitive information.

Self-starter energy: comfortable with ambiguity, follow-through, and working across teams without close supervision.

Bachelor’s degree in management, communications, social sciences, development studies, or a related field.

Up to two years of relevant experience in executive support, project coordination, administration, research, communications, or organisational operations.

Fresh graduates with relevant internship, volunteer, or project experience may also apply.
Salary:
The pay band for the position starts at Rs. 32,000/- per month (cost to company) ( The salary offered will be commensurate with the experience and expertise of the candidate)
