Job Description:
To manage, coordinate, and directly support the administrative, business management, and/or staff activities within the Environmental Health and Safety department.
Job Duties:
This role will contribute to the Environmental Health and Safety department's mission of ensuring institutional safety and compliance. The position will involve coordinating and supporting administrative tasks essential to the department's operations.
Records minutes of program, departmental, and committee meetings and distributes as directed by supervisor.
Serves as departmental records coordinator to help ensure institutional records are retained according to institutional and departmental policy.
Ensures that department employees adhere to timekeeping policies and procedures, and is responsible for addressing any discrepancies or issues.
Processes employee and contractor badge access requests as the key control officer for the department.
Coordinates and processes employee travel arrangements and reimbursements, ensuring compliance with current UTMB Travel Guidelines.
Ensures program and departmental meetings are supported by proceeding as directed by supervisor.
Processes requisitions for routine, non-routine, and capital equipment purchases in accordance with current UTMB procurement rules and guidelines. Including processing invoices for payment.
Coordinates and processes employee business expense reimbursements ensuring compliance with current UTMB policies and procedures.
Creates, maintains, and manipulates databases and spreadsheets.
Schedules, coordinates, and organizes appointments, meetings, and rooms.
Coordinates meeting notifications and prepares agendas.
Manages and maintains digital and physical records, reports, and correspondence in strict compliance with UTMB record retention policy.
Support day-to-day administrative operations, overseeing mail logistics, document processing, and the maintenance of team information resources.
Interacts with customers toward effective problem resolution and assists with questions regarding policies, procedures, and operations of the process or area.
Adheres to internal controls and reporting structure.
Performs related duties as assigned or required.
Working Environment:
Standard office environment. May be required to perform occasional lifting of up to 25 lbs.
Salary Range:
Actual Salary commensurate with experience.
