Job Description

We're looking for a Bid Coordinator to join our Sydney Studio. If you're highly organised, creative and enjoy bringing together people, ideas and compelling content, this is an opportunity to make a genuine impact while growing your career in a globally recognised design practice.

Working alongside our architects, designers and business development team, you'll help shape the way we pursue and win work—creating thoughtful, visually engaging submissions that communicate the strength of our people, projects and ideas.

The role: 

As a key member of our Business Development team, you'll coordinate the delivery of high-quality bids, proposals and client engagement material across a diverse range of projects and sectors. This is a varied role that combines project coordination, visual communication and collaboration, requiring someone who enjoys working with people as much as producing polished, professional documents.

Working closely with Principals, project teams and technical experts, you'll interpret client requirements, coordinate content, develop compelling submissions and ensure every proposal reflects Hassell's design excellence, strategic thinking and brand.

You'll also contribute to broader business development initiatives, supporting the development of marketing collateral, maintaining knowledge resources and sharing best practice across our global bid community. As part of an internationally connected team, you'll have opportunities to collaborate with colleagues across our studios while contributing to continuous improvement initiatives that strengthen the way we pursue work.

This role offers exposure to significant design projects and provides an excellent platform for career growth in business development, strategy and design communications.

What You’ll Do 

  • Coordinate the end-to-end delivery of bids, proposals and presentations, managing multiple pursuits and competing deadlines.
  • Partner with Principals, project teams and subject matter experts to develop compelling, client-focused submissions.
  • Interpret client briefs and evaluation criteria to identify requirements, source relevant content and help shape persuasive responses.
  • Coordinate the collection, review and refinement of content to ensure submissions are tailored, accurate, compliant and on brand.
  • Produce high-quality documents using Adobe InDesign, applying strong visual communication, layout and document design principles.
  • Coordinate input from internal stakeholders and external consultants where required.
  • Support the preparation of capability statements, presentations and broader client engagement material.
  • Maintain and continually improve bid resources, templates, CVs, project information and marketing collateral.
  • Contribute to our global bid community through knowledge sharing, reporting and continuous improvement initiatives.
  • Champion quality, consistency and attention to detail across all client-facing material.

Qualifications

  • Experience coordinating bids, submissions or proposals, ideally within architecture, design, engineering, construction or professional services.
  • Advanced Adobe InDesign skills, with a strong eye for layout, typography and visual presentation.
  • Excellent organisational skills and the ability to manage multiple deadlines simultaneously.
  • Strong written communication skills and confidence working with technical content.
  • The ability to build positive relationships with Principals, project teams and stakeholders across the practice.
  • A meticulous approach to quality, accuracy and brand consistency.
  • A genuine interest in architecture, design and the built environment.
