Summary

Under the direct supervision of a higher level officer, this is responsible clerical work, which not only involves providing receptionist services for an activity center, but also includes collecting monies for such services rendered as; fees for copying documents, payment for training courses and supplies, etc. Work is reviewed .through meetings and analysis of reports submitted.

Examples of dutiesDUTIES (NOT ALL INCLUSIVE):
  • Interview visitors to find out the nature of their business and directs them to the appropriate workstation and individual.
  • Answers the telephone and connects the callers to the appropriate individual.
  • Collects charges due for services rendered.
  • Prepares necessary bank deposit documents and submits them to the immediate supervisor for further processing.
  • Prepares reports on overdue or delinquent bills and reconciles account receivable registers.
  • Prepares daily, monthly and other periodic summaries of collection, number of calls, visitors, etc.
  • Safeguards all monies collected from the time of collection up to remittal to the immediate supervisor.
  • Performs a variety of general clerical work, which includes typing, filing, data entry, and compiling information for reports.
  • Performs other related work as required.
QualificationsHigh School Diploma or equivalency, plus two (2) years of clerical experience at least one of which involved the collection of cash.

Supplemental informationFACTOR 1-KNOWLEDGE REQUIRED IN THE POSITION:
  • Knowledge of office practices and procedures.
  • Knowledge of basic mathematics and collection procedures.
  • Knowledge of the various programs conducted by the agency and of the types of problems and assignments handled by all persons working in the agency.
  • Skills in the operation of a computer and software programs.
  • Ability to prepare technical reports.
  • Ability to express oneself clearly and concisely orally and in writing.
  • Ability to establish and maintain effective working relationships with all concerned during the course of work.
FACTOR 2 -SUPERVISORY CONTROLS:
The employee works under the immediate supervision of a higher-level official. Work is reviewed .on a daily basis. Work is reviewed for accuracy, completeness and timely submission of reconciling documents.

Guidelines consist of applicable laws, rules, regulations, policies and procedures.
FACTOR 4 – COMPLEXITY:
The employee performs a variety of repetitive, recurring duties. Special care must be exercised when handling monies to ensure its security and accountability.
FACTOR 5 -SCOPE AND EFFECT:
The purpose of the position is to provide clerical support and collection services for the activity center. This contributes to the department's/agency's smooth and efficient operation relative to the collection of revenues and for providing good customer service to .the public.
FACTOR 6 -PERSONAL CONTACTS:
Contacts are with co-workers, department/agency officials, employees in other departments/agencies, and members of the public.
FACTOR 7 -PURPOSE OF CONTACTS:
Contacts are made to provide information, request documentation, update records, verify fact, respond to inquiries, and makes corrections to documentation.
FACTOR 8 - PHYSICAL DEMANDS:
There are no unusual physical demands.
FACTOR 9 -WORK ENVIRONMENT:
Work is performed in an office setting.
