YOUR RESPONSIBILITIES 

We’re seeking an exceptionally efficient, energetic, and professional Executive Assistant to provide full administrative support to our senior leadership team. This is a permanent position and the main responsibilities are:

  • Schedule meetings and maintain calendars for Partners & Directors; anticipate scheduling conflicts and prioritize meetings. 
  • Coordinate all aspects of travel arrangements for both domestic and international business travel and arrange passport/visa requirements. 
  • Prepare and reconcile expense reports. 
  • Correspond independently and professionally with team members, clients and their support staff. 
  • Handle sensitive/confidential information requiring a high level of discretion. 
  • General administrative assistance: back-up covering reception and welcoming clients & guests,  support for the wider administrative team as and when required, help with general ad hoc requests. 

 

YOUR QUALIFICATIONS  

  • At least three years’ experience in an administrative role, preferably in an international environment within the professional services industry. 
  • Excellent time management skills and ability to multitask and prioritize a varied workload. 
  • Great organisational skills, customer service attitude, and hands-on mentality. 
  • Enjoys using initiative and planning with an economic mind. 
  • Proficiency in Microsoft Office, with an aptitude to learn new software and systems. 
  • Strong attention to detail. 
  • Excellent verbal and written communication in English & Polish; all other languages are a plus.
